•Supports the administration of the Vaccine Research Records Management Program in compliance with Records Management policies and procedures and the Enterprise Records Retention schedule.
•Assists and provides direction to the records room custodian with the day-to-day support for the archival and indexing of critical and non-critical physical records.
•Acts as team member in the active management of the archival and indexing of critical and non-critical physical and electronic records including life cycle management, classification of records, applying retention period, indexing, archiving, and off-site storage.
•Maintains the Records Management SharePoint site
•Utilizes business knowledge and skills to provide high quality customer service and record assistance.
•Serves as the subject matter expert and senior archivist for VxR physical records.
•Acts as the subject matter expert and provides direction to the records room custodian in the management of the records room.
•Ensures records are managed according to Records Management policies and procedures and departmental policies/procedures.
•Ensures that all legal holds are met in a compliant manner.
•Responsible for administrative functions associated with GDMS. These include maintaining VxR cabinet and file structure and activities associated with property, categorization, and final archiving of official documents including disposition.
•Acts as administrator in support of the Records Management SharePoint site.
•Participates in site records management inventories and categorization of records.
•Works in conjunction with supervisor and records management team to provide support to the scientific community in categorizing document collections, ensuring appropriate disaster recovery backup and applying the appropriate records retention schedule.
•Actively participates in regulatory and corporate audits.
•Maintains the integrity of the archived records. This includes managing off-site records, maintaining filing systems, importing records into official electronic repositories.
•Actively manages and maintains the electronic archive database.
•Special projects as required.
EDUCATION AND EXPERIENCE:
•Bachelors Degree with 1 - 3 years experience
•Working knowledge of Microsoft Office suite
•Knowledge of electronic document management systems
•Leadership and problem solving skills
•Ability to multi-task
•Strong communication and interpersonal skills
